Job Summary

Famous Smoke Shop is seeking a detail-oriented and proactive NetSuite Administrator to manage, maintain, and optimize our NetSuite ERP system. This role supports cross-functional teams with system configuration, troubleshooting, integrations, and reporting, ensuring NetSuite supports both day-to-day operations and long-term strategic goals. Familiarity with Magento and its integration with NetSuite is strongly preferred.

Essential Duties and Responsibilities

  • Administer and support the day-to-day operations of NetSuite ERP, including user setup, role configuration, workflows, saved searches, reports, dashboards, forms, and scripts.
  • Act as the primary point of contact for NetSuite issues, questions, and enhancements.
  • Maintain system integrity and data accuracy through audits, security permissions, and validation rules.
  • Work closely with department heads to gather requirements, streamline processes, and automate workflows.
  • Manage integrations between NetSuite and other systems, such as Magento 2, ShipHawk WMS/TMS, Zoku POS, Celigo, and additional third-party tools.
  • Troubleshoot system errors, resolve user issues, and escalate complex problems to NetSuite support or external consultants when needed.

  • Develop and maintain documentation related to system processes, SOPs, and user guides.
  • Provide NetSuite training and support to internal teams.
  • Test and implement NetSuite updates, enhancements, and customizations.
  • Coordinate with Finance, Operations, Marketing, and Inventory teams to ensure accurate reporting and data flow across platforms.
  • Participate in system upgrade planning, testing, and deployment.
  • Assist in building dashboards and KPI reporting tools to support leadership decision-making.

Education and Experience

  • High school diploma or GED (required).
  • Bachelors degree in Information Systems, Business Administration, Computer Science, or related field (or equivalent work experience).
  • 3+ years of NetSuite administration experience, including configuration, reporting, and integrations.
  • Experience with NetSuite OneWorld, SuiteScript, SuiteTalk, or SuiteFlow is a plus.
  • Magento or e-commerce integration experience strongly preferred.
  • Experience in retail, distribution, or inventory-based businesses is a plus.

Skills and Qualifications

  • Deep understanding of NetSuite system architecture, workflows, and data structure.
  • Proficiency in creating complex saved searches, reports, and dashboards.
  • Strong analytical, problem-solving, and project management skills.
  • Excellent communication and interpersonal skills to interface with cross-functional teams.
  • Ability to manage multiple priorities, work independently, and meet deadlines.
  • Strong Excel skills; experience with Power BI or similar reporting tools is a plus.
  • Comfortable training others and creating user-friendly documentation.

Physical Requirements

  • Must be able to remain in a stationary position (seated or standing) for extended periods.
  • Ability to occasionally move about the office to attend meetings or provide desk-side support.
  • Must be able to lift up to 20 lbs occasionally (e.g., to assist with hardware setup or equipment troubleshooting).
  • Ability to work after-hours as needed to perform updates, troubleshoot issues, or support special projects.
